Certified Medical Assistant

PURPOSE OF POSITION: Provide administrative and clinical support services for patients and staff. This position includes answering the phone, scheduling appointments, greeting clients, managing records, organizing time and space to keep the office running smoothly.
Medical Assistant Certification, excellent communication, and organization skills are required. BA/BS in psychology and previous experience in a psychiatric or medical clinic are preferred.

 Responsibilities

  • 1. Attend to patients on the phone and in person. Coordinate and organize appointments and documentation to facilitate the smooth running of the SBWC environment and support the delivery of quality client care.
    ○ Greet, welcome and check in clients as they arrive for appointments
    ○ Answer phones, transfer as appropriate, answer questions, schedule appointments, direct callers,
    and check voicemail
    ○ Update schedule per patient/provider request via phone/in person/email
    ○ Process patient forms: ROIs, intake paperwork, scoring SDQs, HIPAA signatures; includes
    faxing/copying/scanning
    ○ Tracking patient forms to ensure retrieval
    ○ Pulling patient history information for providers review
    ○ Distribute patient surveys
    ○ Preparing letters on letterhead and form letters for providers
    ○ Taking payments
    ○ Printing paperwork blanks
    ○ Kiosk – sending out documents through our EHR and tracking their return
    ○ Reminder & no-show calls
    ○ Projects regarding clinic and patient needs
    ○ Keep Ipads and Chromebooks charged
    ○ Make coffee

    2. Clinical Responsibilities
    ○ Prior Authorizations
    ○ Refill Requests as directed by Prescriber
    ○ Vitals and rooming patients
    ○ Administer urine drug screen and breathalyzer
    ○ Preparation of equipment
    ○ Documentation and billing as appropriate

    3. Maintenance of the lobby, clinical rooms, and general office space to ensure a welcoming atmosphere.
    ○ Cleaning tasks: vacuum, empty dishwasher, ensure bathrooms are presentable
    ○ Disinfecting of waiting rooms, bathrooms, and nursing station as applicable
    ○ Assist with shoveling snow and salting sidewalks
    ○ Opening and closing duties

    4. Other responsibilities and projects as assigned by supervisors.

Physical Demands

1. Must be able to stand, walk, and sit, for prolonged periods of time
2. Must be able to lift up to 50 pounds
3. Extensive time answering the phone
4. Extensive time working at a computer workstation

Pay

Secure Base Counseling Center pays employees every two weeks. Paychecks include a statement detailing the sessions being paid. Travel reimbursement, if applicable, is paid every two weeks, along with payroll, at 40 cents per minute. Reimbursement for approved expenses will also be paid every two weeks, along with payroll.

 

Freedom to Act

Employee is generally free to organize and prioritize own job duties, as well as assignments to other support staff, and knows where to refer people for assistance or guidance when necessary – or appropriately follows up to acquire a resolution. Employee works independently and with minimum supervision in carrying out necessary tasks. Employee is able to make decisions and answer questions using written resources such as the Employee Handbook, policy and other resources. In the rare event the Clinical Administrator is not available and the need is urgent, direct contact with the Clinical Director may be sought.
